and to Anna Allen for inviting us into her home for the October meeting.
I. Call to Order: Meeting called to order at 6:36 pm by President Leisha Baldwin.

II. Introductions
a. Guests: None
b. New Members: None

III. Approve minutes from September 10 meeting: Motion for approval made by Susi Bains 2nd by Jane Lawton. Motion passed unanimously.

IV. Treasurer’s Report

a. Report: Karen reported on a mix up that happened a year ago with checks being cross-mailed to incorrect parties, one was an insurance check to Mercer Consumer and the other to the cook book publisher. Mercer Consumer returned the check which was deposited into MLWC account. Mercer Consumer realized its error, and as a result, a year later, a new check had to be cut to them.  

b. $5043.85 is current Treasury balance, however the balance does not account for the check to Mercer. Actual balance after Mercer check will be $2886.71. Savings balance is $5881.63. Bluesapalooza income has been able to cover scholarship checks. There is approximately $1000 still outstanding in scholarships. Slush fund is $182.57, which includes $60 income from Tastefully Yours fundraiser.

c. Correspondence:

a. Debbie Morman from District sent information about Lupus fundraiser walk, which will take place on 11/8 at the Rose Bowl. MLWC members can choose to individually/personally sponsor Debbie, and/or make a personal donation to the Lupus foundation. Donations go to Alliance for Lupus Research, a non-profit. 100% of all donations will be directed to research, no administrative cost will be taken from donations. Anna motioned to sponsor Debbie’s walk for $200. Jane 2nd. Motion passed unanimously.

b. Notice of Holiday Bazar received from Granada Hills Women’s Club. Event takes place on 11/14. $40 includes admission and lunch. Local vendors will be on-site selling goods.

c. Barbara Chavez acknowledged donation from MLWC to Capital Tree Project.

d. Received thank you from District ladies for inviting them to September meeting and including them in the scavenger hunt. Also, kudos to Jane and Marcia for organizing such a fun event and wishes for a speedy recovery to Leisha.

e. USO acknowledged donation to United Through Reading in their annual report. Karen has a copy of the report if members are interested in reading.

V. Standing Committees

a. Membership: No new members. MLWC currently has 27 paying members.

b. Fundraising          

1. Snack Shack Update:  No formal update at this time, however Karen noted that at least $1200 was recently deposited and $700 in sales during the previous week end.

2. Holiday Auction Committee: Report from Karen Siebert:

a. Leisha has sign-up sheets for assistance at the auction. A weekly e-mail will go out to remind members to sign up for assisting at the Holiday Auction.

b. Susi Bains reviewed tickets sales: 2 tickets to sell. Event ticket is $17 ($20 at the door), and includes a door prize raffle. Please write buyer’s contact info on small perforated section of Event ticket, and return along with tickets sales. Grand Prize Raffle ticket is $10. Also will be available at the event. Please write buyer’s contact info on small perforated section of Grand Prize Raffle ticket and return along with ticket sales.

c. Need gift certificates for shop and dine.

d. All auction items should be dropped off at Leisha’s office no later than Saturday 11/1. Organizing committee will meet on Sunday 11/2 @ 1pm. Jane requested to be added to the Organizing committee.

e. DSES table has 8 seats to auction off.  Marcia motioned to purchase DSES Island Extravaganza table for$1,000, and then auction off seats at MLWC Holiday Auction. Sharon 2nd. Motion passed unanimously.

f.  Cost to advertise Holiday Auction was underestimated by $250. Sharon motioned to add $250 to advertising budget. Marcia 2nd. Motion passed unanimously.

g. Holiday Auction will be advertised in The Sheet and Mammoth Times (1/4 page ads), will have 25 spots on Sierra Wave, and will have paid advertising on Facebook. Lynne will do a radio spot on KMMT Arts & Entertainment the Friday before the event.

h. Lynne brought table cloths. Sharon requested that anyone who has linens/table cloths please drop off at Leisha’s office by 11/1, and be sure to identify them with name, etc. Linens will be used to cover auction tables.

3. Social

a. There will not be a November meeting.

b. December Holiday Party needs a committee to organize. Sharon will head up the committee and Marcia will assist. Holiday party will take place 12/10, location TBD. Sharon will organize gift exchange, etc.  

4. Communications

a. Patricia has been updating website and Facebook. All agreed both look really great.

b. Members can register their volunteer hours directly on the website in the member center. Password to member center is mlwc321!   (no login required)

c. Patricia also reminded members that financials, minutes and agenda are all available on the website under member center.

VI. Business

a. Yankee Candle Slush Fundraiser: Information is available on the MLWC website. Club receives 40% from each candle sale.

b. Club thanked Jane, Marcia and Leisha for last month’s scavenger hunt.

c. October is Domestic Violence Awareness Month and Breast Cancer Awareness Month. Karen has ribbons for each and urged all members to wear them to bring awareness.

d. Karen announced that 10/11 is the Pumpkin Patch fundraiser for FFA Bishop High School Ag Farm.  It is a family friendly event for all ages.

e. Sharon announced Alpine Trampoline Club is now open at Snowcreek.

f. Susi announced fundraiser dinner for Wild Iris on 10/25 from 5-8pm at Tri-County Fairgrounds. Tickets are $25 ea.

g. Flu shots will be available on 10/20 from 4-7pm at MES. Cost is $10.

h. Leisha announced that Kelley Hawtry resigned her position as MLWC Vice President. If anyone is interested in assuming the VP position please let Leisha know. Main responsibilities of VP are communications and committees.

VIII. Members’ News and Notes:

a. Anna reported that her daughter ran her 1st marathon at St. George, and completed it in 5 hrs. 36 minutes. Congratulations!

b. Karen acknowledged Pat and the great work that she did on the Town Recreation committee. Thank you Pat!

c. Karen reported that in honor of her 55th birthday (impossible!) that she bought herself a 1941 John Deere Model A Tractor!

Guests: Sierra-Cahuenga District President Carol Moore, 4th Vice President Beverly Ulis, Treasurer Joan Campbell and Corresponding Secretary Debbie Moorman. The District ladies each gave a brief presentation. Carol explained her President's Pin, a red heart symbolizing diversity and a love of philanthropy. Her signature projects are support for Lupus and breast and uterine cancer victims and research. She also reminded everyone to consider entering the upcoming District writing contest. Beverly spoke about the upcoming District art competition and show, and also the statewide music competition. If you're interested in any of these, Leisha and Kelly will have the info. Joan instructed how to get into the "members only" section of the CFWC website, user: member password: JennieJune and also encouraged everyone to sign up for the state e-newsletter Quick Bytes. Debbie explained her daughter suffers from Lupus, so that cause is near to her heart as well. She suggested donations to ALR, which gives 100% of donations to research, as it has corporate underwriting for all of the other charity costs. Also, she reminded us of the District scholarship for high schoolers, and that our club can donate to that cause and can also encourage our students to apply for it. Info for it comes out in February, with the deadlineApril 1.

Membership: Liberty Shimmon was welcomed as our newest member!

August meeting minutes: moved by Sharon, second by Melissa to approve, carried unanimously.

Treasurer's Report: Karen hadn't been able to connect with Leisha on the bank statements, but said there was about $8,000 in Treasury and savings combined. She promised a minutes addendum when she had the numbers. Scholar award winners are starting to claim their part of the $4,000 awarded.

Funding request: Mammoth Elementary PTO, $150 for T-shirt sponsorship for the Husky Pup Fun Run. The students run or walk laps for pledges and get the shirt as a participation award. The PTO uses the pledge money for classroom supplies and other needs not met by the school budget. Moved by Anna, second by Karen Sibert to approve, carried unanimously.

Also reported, opening day soccer at snack shack did about $800, plus the club earned $500 from working the rest stop for the Gran Fondo bike race.

Holiday Dazzle committee: Chair Karen Sibert reported the event will be Nov. 9, 2-6 pm at The Bistro. New this year, admission tickets will be sold to cover the cost of an appetizer buffet. There will still be a no-host bar. Tickets for members to sell will be available at the October meeting, along with raffle tickets (hopefully) for a ski pass. Sign ups for auction/kitchen/workshop items and also jobs at the event will be on SignUp Genius within the next week. Each member is expected to provide 3 items for sale. Next event committee meeting is 9/15 at 5:30 pm at Lynne's Garden of Eat'n.

Slush Fundraiser, Yankee Candle: Chair Kelly reported the sale starts the first week in October, so look for the club email with the web link. She will also have paper catalogs available for those who want them. The sale will run through the first part of December, so there will be delivery on time for Christmas. Don't forget, this is a SLUSH fundraiser, so it's not a tax deductible donation toward any of our charitable causes; the proceeds go toward club expenses. That means the sale can't be open to the public. You can approach family and close friends about purchasing, but they need to know its not a donation.

Snack Shack: Anna encouraged everyone to take another look at the schedule and fill the last slots!

Member news: Leisha has a broken ankle and torn ligaments after a bad fall on Sept. 6. She had surgery, and is home and on the mend. She says her family is taking care of things, so she doesn't need meal help. You can call or email her to talk or check in, so she can hear from us! She had to take her name off some Shack shifts, so fill in if you can.

The meeting was adjourned at 6:05, with members setting off on the scavenger hunt, followed by the potluck.

      a. Report: 
            • Fashion show: still awaiting final numbers. 
            • Snack shack: Little league earned $1764.50 ; Adult softball earned $1524 for the month of July. 
            • Bluesapalooza: Earned $3785.75. 
            • As of end of July: Treasury balance is $1861.65; Slush fund is 200.70; and savings balance is $5881.33 (Note:                       $4000 of savings is encumbered for scholarships).

V. Standing Committees

      b. Fundraising
            • Snack Shack Update: Slots are filled for remainder of baseball season. Marcia suggested that next year we revisit                   not hosting men’s league. Compared to last year. This year’s numbers are lower, possibly because we are missing                 out on what the families buy during men’s league. Candy sales in particular are significantly lower. Anna made a                     special recognition of Karen Sibert’s willingness to fill in on a lot of last minute slots for the snack shack.

            • Holiday Auction Committee: Will meet on Monday 8/18 to begin planning. 

            • Bluesapalooza Recap: The event was very successful, and a lot of fun. Although it is not official, the general sense                 is that MLWC will be invited back next year. MLWC bar sold double what has been sold in past years. Thank you                     notes for non-club members who helped out and to Mammoth Brewery are in the process of being sent. 

      c. Social

            • September Meeting: District ladies are coming to meeting which will be September 10 at Marcia’s house. Meeting                   will start at 5:00 and conclude by 5:45, after which a scavenger hunt will take place. Scavenger hunt will be related                 to Women’s club and Womens Club purpose. Teams for scavenger hunt will consist of 3-4 including a district lady.                 Activities will involve driving around town to look for/collect/photograph certain items. Potluck dinner will follow                         scavenger hunt. Marcia will make pork roast. Members are asked to bring something from the MLWC                                       cookbook. Leisha will send sign-up genius for potluck dishes.

            • October Meeting: Anna will host. Susi, Rhonda & Leisha will co host. 

      d. Communication
            • Website Update: Still a work in progress. Please send ideas and feedback to Patricia.
            • Facebook: Currently has 103 likes. Leisha encouraged all members to “like” the MLWC page. Please send ideas                     and feedback about the MLWC FB page to Patricia.

VI. Business

      a. Sierra Summer Festival: Karen needs at least 1 person, preferably 2 to help serve cookies on Friday 8/15 from 7:30-               9:30 pm at St. Jospehs Church. Please call Karen if you can help. Also need more cookies. Cookies can be dropped               off at  MLPD by 4pm on Friday 8/15. 

      b. Gimme Shelter Carnival Recap: Carnival was successful. Biggest day was 2500 people. $12,000 was earned. Plans               for next year are already in the works.

      c. Fall Century: Ride is Sept. 6. MLWC can earn $500 to work the rest stop on Waterson divide. Need at least 6 people             to work from 8:30-3:30. Expected to have 1500 riders; there are several MLWC members who will be riding in                         the event. Leisha will send out sign up genius. 

VII. Non-Agenda Items: From Anna: wine tasting event that is taking place at The Village this week-end is looking for volunteers. Please contact CCasey@mammoth-mtn.com if you are interested in volunteering.

VIII. Members’ News and Notes: 

• Anna thanked The Club for the notes and kindness; her father passed away unexpectedly. Anna and her husband visited with Debby Christiana Bailey & her husband Richard at their new home in Gig Harbor Washington. Were also able to visit with old friends of Brents, and were able to introduce Debby & Richard to them. 

• Leisha thanked everyone who worked Bluesapalooza

c. MLWC Picture Archive: Leisha would like to be able to take old pics from past years of

The Club would like to thank Michelle for her generosity in allowing the use of her home for a meeting.

Leisha Baldwin, President, called the meeting to order at 6:45 pm.

Introductions
  1. Guests: None
  2. New Members: None

Approve Minutes From May 14 Meeting
Sharon motioned for approval of May minutes. Jane seconded. Motion passed unanimously.  

Treasurer’s Report
  1. Report:
    -Treasurer Karen Smart reports $1930.08 in Treasury, which includes a recent snack shack deposit. Slush fund contains $394.54. Savings account contains 2881.10, and earned 10 cents
    -Fashion show netted $494.41 in profits. iii) Club’s ability to accept credit & debit cards is paying off with increased sales.
  2. Correspondence: none
  3. Donation requests:
    -Gimme Shelter Carnival: Susi is asking for assistance with advertising. Lynne motioned to donate $150 for posters. Sharon 2nd. Motion passed unanimously.
    -Health Care Trust Mammoth Lakes: Seeking donation to support Mammoth Hospital cancer outreach program by sponsoring a hole in their golf tournament. Tournament is June 27th. Club can have personal message on their sign “We appreciate your support” was suggested by Lynne. Lynne motioned to donate $250. Anna seconded. Motion passed unanimously.
    -California Federation of Women’s Clubs Presidents Project: Capital tree plaque project. Markers would identify the California Federation of Women’s Clubs on trees that are planted around the State Capital. Each marker is $15. Lynne motioned to donate $150 to purchase plaques. Marcia 2nd.  Discussion: Is the individual Club recognized on the plaque or the California Federation? Consensus is that the Federation, not individual club, would be recognized, but Karen will confirm. Motion passed unanimously.
    -Mono County Behavioral Health (MCBH): Hosting a Community Service Fair on July 6th which will include a BBQ for kids. Sal from MCBH is requesting $200 to buy hotdogs etc. for the BBQ. Lynne motioned to donate $100 for hotdogs. Michelle R. 2nd. Motion passed unanimously. Susi indicated that Wild Iris will have a table at the fair, and suggested that Women’s Club should have one too. Offered to man the table if it were next to Wild Iris’. If anyone else in interested in manning a MLWC table for a couple of hours please send e-mail to Leisha.    

Standing Committees
  1. Leisha indicated that there is a need for committee volunteers, and identified what each committee would generally attend to:
    -Social committee helps with birthdays, fun activities outside of Club meetings, as well as arranging for monthly meeting sites and securing hostesses and co-hostesses. Leisha reminded members that Sign-Up Genius is available to see what meetings need hostesses & co-hostesses. Katharine will send an updated Sign-Up Genius for upcoming meetings.
    -Communication committee assists with website, social media and event promotion. Committee currently consists of Pat Agnitch  and Patricia Ann Kent. Karen Siebert volunteered to help with communication committee.
    -Membership committee is responsible for growing the Club membership by bringing in new members. This committee would also be responsible for recognizing Club member anniversaries.
    -Fundraising committee needs individuals who will take charge of current fundraising events and/or assist those who are already in charge. Current fundraising events consist of holiday auction (needs someone to take the lead), fashion show (Lynne), and snack shack (Marcia). Karen Siebert volunteered to assist Marcia with the snack shack.
    -Scholarship committee reviews essays and interviews graduating seniors to determine scholarship recipients. Typically new committee is chosen each year. Michelle R. indicated she would like to be a “permanent” member of the scholarship committee. 
  2. Membership: no report
  3. Fundraising: Snack Shack: Over the last two months the snack shack has netted approximately $2400-$2600. It was also mentioned that the uptick in business is most likely due to ability to accept debit and credit cards, as well as good weather and because Little League management sent a letter to families letting them know about the Club, and what we do in the community. It was agreed that the Club should send a thank you to Little League for their efforts in promoting the Club’s presence. 
  4. Snack Shack Update:
    -Anna indicated that the staffing for the snack shack was not fair, that a select few ended up having to work 6 shifts. Anna urged all members to volunteer, and suggested that every member should work at least one shift. Anna indicated that it is not difficult and that it is an opportunity to get to know and bond with other members.
    -Anna reminded Club that we are passing on covering the men’s league, and that the coed tournament brings more sales that men’s tournament.
    -Anna mentioned that the Club has been approached by the football league to work the snack shack in return for 50% of sales. Susi indicated that Wild Iris employees will be offering to work snack shack in October.
    -Marcia is trying to manage stocking the snack shack. Please e-mail her when stock of specific items is low so that she can keep up with inventory.
    -Reminder that the First Five Health Fair is next week-end from 10am-2pm, and snack shack will be open.
  5. Fashion Show Recap: Lynne worked hard to put this event together, and by all accounts it was a success. The crowd had a great time and had good energy. The Club would like to thank Lynne for taking on this 1st annual event, and looks forward to many more. Fashion show netted $494.41 in profits.
  6. Holiday Auction Committee: no report
  7. Social: no report. It was mentioned again that any suggestion for summer BBQ be routed through Leisha or Jane.
  8. Communication: no report
  9. Scholarship: 
    -Kelley reported that the committee received 57 applications. Of those, 8 students were interviewed and 6 were chosen to receive awards. Total award amount is $4,000. The official announcement of student names will be released on Friday, June 13.
    -If a Club member has a graduating senior, that child receives an automatic interview if they file an application.
    -Michelle suggested that each student be funded for more than 1 year, and also suggested that the Club should/could be more invested in helping the seniors to establish life skills that could help them in the future.  

Business
  1. Meeting Etiquette: Leisha thanked members for all that they do. Reminded members that oftentimes meetings fall apart when there are side bar conversations, people talking over one another or overly strong opinions. Leisha reminded members that all opinions are valuable and respected, and that each member should have a turn to speak without interruption. Members should raise their hands and be acknowledged by Leisha rather than interrupt other speakers. In the interest of getting through the meeting on time, there will be a time limit on discussions. 
  2. Gimme Shelter Carnival: General discussion on how the Club might be able to help. Susi will ask for more information from Donna about booths, etc. Lynne would like to remind everyone to be safe and to remind their children to be safe during the time that the event is in town.
  3. Women’s Club Shirts and Bags: Leisha indicated that tote bags, shirts, vests …just about anything in any color is   available with MLWC logo. Items are available through Creative Embroidery, and can be ordered individually. Leisha suggested going in to Creative Embroidery to see what is available. Leisha also passed around order forms that can be used.   

Non-Agenda Items
  • Marcia inquired about any updates on Bluesapalooza. All we know at this point is that the event is from July 31-Aug 2, that the Club will be serving beer and can keep the tips. Pat A. will speak to Sean and see if there is any more info re: the Club’s participation.
  • Kelly would like the Club to consider having slush fund fundraisers 3 or 4 times a year to maintain the slush fund balance. Kelly investigated Yankee candles as the first possible fundraiser. There is no upfront cost, items can be purchased through a catalog or online, and can be sent to e-mail contacts for even more sales. In return, Club would receive 40% back on all sales. Fall catalog sales start at the end of July.
